Department Description
The Center for International Relations & Cultural Leadership Exchange (CIRCLE) in the Student Life Division is a department dedicated to supporting and engaging international students. CIRCLE also creates intentional opportunities for both domestic and international students to connect, learn from each other, and develop the skills necessary to succeed in a global economy. As part of its mission to serve as a “home away from home” for students, CIRCLE emphasizes fostering a student-centered environment that promotes community building and meaningful learning experiences.
Job Description
Under the supervision of the Assistant Director of Graduate Programs and Operations, the Graduate Student Program Coordinator will play a key role in planning and execution of a variety of programs to engage and support UW graduate students. The programs will vary in scale, scope and audience, taking place throughout the academic year to ensure consistent student engagement. The Graduate Student Program Coordinator will also support the assessment and evaluation of each program, providing feedback to inform future iterations. Additionally, they will collaborate with a variety of campus partners during the planning and execution of CIRCLE programs, fostering strong relationships across the university.
Pay Rate: $23 per hour.
Hours: 10-16 hours/week during fall, winter, spring quarters.
Length of Position: 2025-2026 Academic Year, with a preferred start in spring or summer 2025 and the potential for extension beyond one academic year.
International graduate students are welcome to apply. Work study eligible.
Responsibilities
- Provide essential support to the CIRCLE International Graduate Student Portfolio under the supervision of the Assistant Director.
- Assist in the planning, designing, and implementation of professional development and community-building events for international graduate students.
- Support event planning, marketing, communication, evaluation, and budget management.
- Coordinate event logistics, including venue and catering reservation, attendee and guest communication, and on-site event support.
- Maintain detailed documentation of event tasks, timelines, meeting minutes, and participant feedback.
- Conduct occasional research on promising practices for supporting students in navigating life in the U.S.
- Collaborate with the CIRCLE Student Advisory Board on graduate student related initiatives and working groups, as needed.
- Work closely with other CIRCLE staff and student staff to ensure seamless collaboration and program success, as needed.
Requirements
- Registered as a UW graduate student in any field of study.
- Candidate needs to meet the UW student employment policy at http://www.washington.edu/admin/rules/policies/EAP/CH104.html
- Demonstrated experience engaging diverse campus and community populations, with a focus on international graduate students.
- Strong verbal and written communication skills.
- Proven event planning and project management abilities.
- Highly organized, analytical, motivated and proactive individual.
- Professional, reliable, and attention to details.
- Comfortable working both independently and in a collaborative team environment.
- Ability to work occasionally in the evenings and weekends.
- Proficiency in Microsoft Office Suite especially OneDrive.
- Physical ability to lift 20-30 lbs. of materials and supplies for events.
