Front Desk Student Office Assistant

Objective: The Student Office Assistant (OA) supports the operations of the HFS Administration unit 
through administrative support of the HFS Central Office front desk operations, professional staff 
members’ day-to-day workload, management of physical and digital resources and information, and 
communication with diverse students, staff, and community members. Daily tasks and specific projects 
may vary, but will generally include the items listed below.

TYPICAL WORK
Data, Information, and Resource Management
• Operate office equipment such as computer, copy machine, and label maker
• Organize and maintain physical and/or digital files/records
• Receive, sort, and distribute mail, messages, and other information to appropriate parties
• Deliver materials to other offices across campus
• Compile data and perform data entry
• Proofread materials
• Create various print and/or digital materials intended to advertise, promote, and educate
• Complete financial procedures and assist in the management of a budget as directed
Customer Service
• Greet and receive visitors and direct them to the relevant person or area
• Answer telephones and respond to routine questions, following clearly established guidelines
• Schedule meetings for supervisor
• Triage and direct complex situations, questions, and concerns to the correct person
• Liaise with other staff members to effectively complete tasks and projects
• Contribute to a positive working environment
Other Duties
• Maintain cleanliness and organization of reception and office supply areas
• Complete any specific tasks and projects provided by supervisor(s)

DESIRED QUALIFICATIONS
• Proficiency in Microsoft Office tools such as Word, PowerPoint, Excel, OneNote and Outlook
• Strong organizational, interpersonal, and communication skills
• Evidence of skills in critical thinking, problem solving, and navigating ambiguity
• Understanding of and respect for confidentiality
• Ability to work a mostly consistent schedule per academic quarter
• Prior office and/or customer service experience preferred


***Desire applicant with availability to work from 12-2pm Monday through Friday daily, 10 hours/week during training
  Post-training, desire applicant with availability from 10am-2pm or 12pm-4pm Monday through Friday daily, 19 hours/week

Pay Rate: $20.76/hour

Anticipated start date: As soon as possible.
