Programs Coordinator (Arts + Entertainment)

The Arts + Entertainment Program Coordinator is responsible for researching and creating programs of interest to UW students and implementing these programs under the guidelines of the ASUW Arts + Entertainment mission. These considerations include contract negotiations, promotion, ticketing, facility arrangements, and all other production details.

Responsibilities:

1.    Implement programs as approved by the ASUW Arts + Entertainment staff, including: (1) Contract negotiation for artists, lecturers, etc. (subject to final approval of Student Activities Advisor and HUB Director). (2) Ticketing: following proper procedures and ASUW/SAO rules and regulations. (3) Facility arrangements, including confirming or releasing tentative reservations. (4) All other production arrangements (sound, lights and instrumental rentals, catering, etc.). (5) Assign volunteers to specific event duties or planning projects. (6) On-site event management for smooth operation and compliance with regulations.
2.   Oversee logistics for all Arts + Entertainment events, including, but not limited to, Fall Fling, Quad Flicks, the Comedy Show, and Spring Show.
3.   Conduct research on campus and national entertainment trends in coordination with the Arts + Entertainment Director. Utilize all available information in program development, including surveys, student input, and other campus event schedules.
4.   Lead the filtering of event ideas and research.
5.   Develop program proposals, with an event budget and revenue estimate for each proposal, for the ASUW Arts + Entertainment staff.
6.   Ensure that all the paperwork necessary for event implementation is prepared and submitted on time and according to established procedures.
7.    Take the lead in the management of internal operations relevant to event success, including volunteer interactions.
8.   Establish relationships with other ASUW entities or on and off-campus leaders to further collaborative efforts.
9.   Outreach to personal networks as instructed by Marketing Coordinator for event marketing.
10. Attend and contribute to weekly Arts + Entertainment staff meetings.
11. Assist the Director in other special projects as assigned.
12. Maintain and inform the ASUW Personnel Director and the Student Activities Office (SAO) adviser of all completed and missed office hours, including any absences due to sickness, personal emergencies or work-related trips.
13. Meet with SAO adviser as needed and upon request, as well as participating in a quarterly evaluation process.
14. Attend ASUW mandatory training sessions and staff meetings, including but not limited to ASUW Personnel meetings and ASUW Autumn Orientation which will be held September 20-24, 2021.
15. Review and adhere to conditions of employment as stated in the ASUW Personnel Policy, the signed ASUW Employment Contract and the Student Employment Handbooks. All actions must also follow the laws and procedures set by ASUW, SAO and the State of Washington.
16. Responsible for initiating a thorough transition with your newly hired successor during the last week of the term; including the completion of comprehensive transition documents, that are uploaded to the ASUW transition page before the last day of Spring Quarter.


Qualifications:

1.    Interest in and knowledge of current affairs, cultural trends, popular music, film, event production, and/or event promotion.
2.   Experience with film, lecture, concert, and/or special event production, and/or experience with event promotion using a variety of media.
3.   Experience with the ASUW Arts + Entertainment preferred.
4.   Ability to develop and adhere to a budget and to realistically estimate event revenue.
5.   Awareness of on-campus and off-campus resources.
6.   Ability to work under pressure. Ability to develop and adhere to deadlines, including a quarterly planning schedule.
7.    Ability and willingness to learn, understand, and follow procedures (e.g., related to ticket procedures, bidding procedures, and sole source justifications, etc).
8.   Demonstrated integrity and honesty (as related to ticket procedures, bidding procedures, and sole source justifications, etc.).
9.   Demonstrated creativity and presents innovative ideas.
10. Ability to communicate effectively.
11. Strong organizational skills.
12. Must be a UW student enrolled in at least 6 undergraduate or 4 graduate credits or on leave as defined by Executive Order 50.

*Excluding the Executive Order 50 qualification, students who do not meet all of the posted qualifications will still be considered for this position.
