Summary
The Award Manager serves as the primary administrator for post-award processes within the Student Technology Fee (STF). This role is responsible for managing the full lifecycle of awarded proposals, including award confirmation, budget setup, and delivery coordination. The Award Manager works closely with the Director of Operations, STF Chair, and other student staff to ensure that awarded funds are distributed accurately, efficiently, and in compliance with University policies.
In addition to financial and administrative responsibilities, the Award Manager plays a key role in maintaining relationships with award recipients, coordinating site visits, and supporting transparency and accountability in how STF funds are utilized across campus. This role also contributes to broader STF initiatives, including marketing support and annual reporting, by ensuring accurate tracking and documentation of award outcomes.
Deliverables
Manage the STF award process, including Award Confirmation and Award Delivery in Submittable.
Coordinate worktag creation and ensure proper budget setup in alignment with UW financial systems and policies.
Review and process proposal and award edits to ensure accuracy and completeness prior to fund distribution.
Track award progress and monitor compliance with approved proposal scope and budget.
Identify and follow up on underspent or underutilized awards, coordinating with recipients to ensure proper fund usage.
Lead and coordinate STF site visits, including scheduling, documentation, and follow-up communication.
Maintain organized records of award documentation, site visit notes, and recipient communications.
Coordinate sticker distribution for awarded equipment and ensure visibility of STF-funded resources across campus.
Support STF marketing and communications efforts by providing information and insights on awarded projects.
Assist the Data Analyst in gathering and organizing award-related data.
Collaborate with the Director of Operations and other staff to improve award workflows and post-award processes.
Attend weekly in-person meetings as scheduled.
Perform all other duties as assigned.
Preferred Qualifications
Strong written and verbal communication skills.
Working familiarity with Microsoft Office products, including Outlook, Word, PowerPoint, Excel, OneDrive, and SharePoint.
Experience with data tracking, budgeting, or administrative systems preferred.
Awareness of the STF and its mission.
About the Student Technology Fee
The UW Student Technology Fee (STF) was created by the Washington State Legislature [RCW 28B.15.051] and the UW Board of Regents in 1996 to provide for and enhance technology resources for students beyond the classroom environment. The STF is student-levied and student-distributed, with the STF Committee responsible for hearing and voting on a number of short- and long-term funding proposals each quarter. The $32 per quarter fee generates over $3 million in annual revenue which is distributed to nearly 100 UW departments, organizations, and student groups each year.
The STF Committee is composed of representatives selected by the Associated Students of the University of Washington (ASUW) and the Graduate and Professional Student Senate (GPSS). These representatives, or Committee members, are responsible for reviewing proposals, debating their merits, and rendering a decision. The Committee also includes several ex-officio members from UW Administration and other departments who provide additional support, context, and guidance to the Committee. The Committee is also supported administratively through Husky Union Building (HUB) staff, UW Office of Planning and Budgeting (OPB) staff, and the STF student staff.
